Paid before they
reach the boat
Connect your own Stripe account inside DivePilot. Guests pay their bill from a personal link on their phone, and pay a deposit when they book on your booking page. The money goes straight to you, and every payment, refund and dispute lands on the right bill by itself.
One link,
always the right bill
Guests pay the way they pay everywhere else, and your team sees the money on the bill without typing it in.
Your own Stripe account
Connect Stripe from the settings in four guided steps. Already use Stripe? Sign in with your existing Stripe login. DivePilot fills in your business details for Stripe's form, and Stripe's check can take minutes or a few days. You are the merchant: guests see your name on their statement, Stripe pays out to your bank, and DivePilot never holds the money or sees a card number.
A personal payment link
Each guest has one link, by email, copied into a message or as a QR code at the desk. It always opens the bill their charges land on, with what they booked, what they paid and their receipts and invoices.
Card, Apple Pay, Google Pay
Stripe's own payment form in the guest's language, with the methods you switch on in your Stripe account. Guests pay the balance or part of it, from a minimum you can set.
On the bill by itself
A paid amount appears on the guest's bill within seconds, with a receipt where you make receipts automatically and a payment received email to the guest. When someone else pays a guest's charges, the guest's link only shows who pays.
Refunds to the card
Refund an online payment from the bill, back to the card the guest used. The bill shows the refund as pending until Stripe confirms it, and refunds made in your Stripe Dashboard arrive on the bill too.
Disputes in view
A disputed payment is marked on the bill with the amount and the evidence date. A lost dispute reverses the payment on the guest's bill; a won one is marked as won and the bill stays as it was.
Seats that are paid for
Ask for a deposit or the full price on bookings made online, hold the seat until it is paid, and apply a cancellation policy guests have read before they book.
A deposit when they book
Set a percentage, a fixed amount or the full price for fun dives and for courses, with a different deposit per course when you need one. The amount comes from the price estimate the guest saw.
A hold that ends
A booking waits for its deposit for the hours you choose. Paid, it confirms by itself when the trip has room; unpaid, the guest gets a reminder halfway and the seat is released at the end, with an email.
One payment for the group
The person who books a family or a group pays every deposit in one go, and each person's part lands on the right bill, also when the lead pays for everyone.
A fair cancellation policy
Fees by how many hours before the dive a guest cancels, shown in the guest's language on the booking page, in the confirmation and on their bill. Cancelling shows the fee, and the rest of the deposit goes back to the card or stays on the bill as credit.
Right for your country
Online payments get the same documents as payments at the desk: receipts, invoices and credit notes as your country's rules say. In France, Portugal, Italy, Spain, Greece, Croatia and Malta you confirm a note on the fiscal rules before you connect.
Who may do what
Connecting Stripe, sending payment links, refunds to the card, deposit and cancellation settings and waiving a deposit are separate permissions.
Questions before you connect
No. Guests pay into your own Stripe account and Stripe pays out to your bank. DivePilot shows the payment on the bill, but never holds the money and never sees card numbers.
DivePilot keeps 1 % of each online payment, 0.75 % with a yearly subscription, at most 5 USD per payment or the equivalent in your currency. In Brazil, Mexico, Malaysia and Thailand Stripe cannot take the fee from each payment, so DivePilot adds it up and bills it once a month in USD, on a separate invoice next to your subscription, charged to the same card. No invoice is made below USD 1.00; the amount carries over to the next month. Payments taken during the free trial carry no fee. Online payments are included in the plan. Stripe's own card fees are separate: Stripe charges them to your Stripe account, as your Stripe account shows them. Guests never pay a surcharge. A refund to the card or a lost dispute lowers DivePilot's fee in proportion. The Online payments tab shows the fee before you connect, and the bill shows it with each payment.
The countries where Stripe opens accounts for businesses, among them Thailand, Malaysia, Japan, Australia, Mexico, the United Kingdom, the United States and every country of the European Union. Elsewhere, payments at your desk work as before. Connect Stripe for online payments lists them.
Your team cancels the booking as cancelled by the guest, and your cancellation policy works out the fee from how many hours before the dive it is. The fee goes on the bill and the rest of the deposit back to the card, or stays as credit if you prefer.
The booking holds its seat for the hold time you set. The guest gets a reminder halfway, and at the end DivePilot cancels the booking without a fee and tells the guest by email. Your team can waive a deposit to keep a booking.
A refund or a dispute does not change or re-issue a document you already issued. When the guest should owe less, you void or discount the line on the bill, which issues a credit note where the line was already invoiced, the same as at the desk. Online refunds and disputes explains it.
